Proposem ("we", "us", or "our") provides an AI-powered proposal and service contract platform for electrical contractors. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

This policy covers two groups of people: users (contractors who create a Proposem account) and recipients (the users' clients, who view and sign proposals or service contracts through links a user shares with them). Section 3 describes what we process about recipients.

1. Information We Collect From Users

Account information

When you create an account we collect your email address and a password, or, if you sign up via Google, your name, email address, and profile picture. If you enable two-factor authentication, your authenticator enrollment is managed by our authentication provider (Supabase). We never see your password in plain text.

Company and business data

We store the business information you enter into Proposem: company name, logo, brand colors, location, website, license number, labor rates, price book items (including costs and markups), tax settings, templates, default terms and conditions, and email templates. If you use the brand scanner, we fetch the public website address you provide in order to extract its colors; we do not crawl beyond the page you specify.

Proposal and contract content

We store the documents you create: job descriptions, scopes of work, line items, pricing, equipment details, jobsite and equipment photos, financing settings, and the client information you enter about your own customers (names, email addresses, phone numbers, and service addresses).

Payment information

Subscription payments are handled by Stripe. We never store your credit card number. Stripe shares with us only non-sensitive billing details (last four digits, billing email, subscription status).

Usage and product analytics

We record how the product is used: proposals and contracts generated (to enforce plan limits), feature usage events such as creating documents or accepting price-book matches, sign-in activity, and errors. We also use Vercel Analytics, a cookieless, aggregate analytics service, to understand overall site traffic. We do not use advertising trackers.

Support messages

If you contact support through the in-app widget or by email, we receive the message you send and your account email so we can respond.

2. How We Use Your Information

  • To provide, operate, and maintain the Proposem service
  • To generate AI-drafted proposals and contracts on your behalf (see Section 4)
  • To send transactional emails (proposal and contract delivery, confirmations, follow-ups) via Resend
  • To process subscription payments via Stripe
  • To enforce plan limits and prevent fraud or abuse
  • To respond to support requests
  • To improve the product based on usage patterns

We do not sell your personal data, and we do not share it with third parties for their own advertising or marketing.

3. Information About Recipients (Your Clients)

When a user shares a proposal or service contract, we process certain information about the recipient on the user's behalf in order to deliver the document, support e-signatures, and maintain a reliable record of what happened:

  • Contact details the user enters (name, email address, phone number, service address), used to prepare and deliver the document
  • View events:when a shared document is opened, we record the time, the device type, and a one-way hash of the visitor's IP address. We store the hash, not the IP address itself.
  • Signature records:when a recipient signs, we record the typed or drawn signature, the signer's consent to sign electronically, the time, the device type, a truncated browser identifier, and a one-way hash of the IP address. If the document was opened through an emailed link, we also record which recipient email address the link was issued to. These records exist to make signatures attributable and are shown to the user as an audit trail.
  • Change requests: if a recipient requests changes to a proposal, we store the message they submit.

We process recipient information solely to provide the service to the user who shared the document. We do not use recipient information for marketing and we do not sell it. Each user is responsible for having a lawful basis to enter their clients' information into Proposem and to send them documents.

4. AI Processing

Proposem uses Anthropic's Claude API to power its AI features. Depending on the feature you use, the following content is sent to Anthropic for processing:

  • Proposal generation:the job description, the client's name (used to personalize the proposal greeting), labor rate, payment terms, and any jobsite photos you attach
  • Contract generation:the customer's name, equipment details, service frequency, and related scope information
  • AI change requests:the change request message and the proposal's scope and pricing content. Signatures, contact details, and other identifying fields are removed before the request is sent.
  • Price-book matching and AI price conversion: line item descriptions and your price book items

Under Anthropic's commercial API terms, content submitted through the API is not used to train Anthropic's models.

We recommend you do not include sensitive personal data (for example, social security numbers or banking details) in job descriptions, client names, or photos.

5. Third-Party Services

We rely on the following sub-processors:

6. Data Retention

We retain your account data for as long as your account is active. If you ask us to delete your account, we will delete your personal data within 30 days, except where we must retain it for legal or billing compliance (for example, Stripe transaction records).

Signature and audit records attached to executed documents may be retained longer where reasonably necessary to preserve the integrity and enforceability of agreements that were signed through the service, or as required by law.

7. Cookies and Local Storage

We use essential cookies for authentication and session management, and browser local storage for interface preferences such as your theme. We do not use advertising or cross-site tracking cookies. Our site analytics (Vercel Analytics) does not use cookies and does not identify individual visitors to us.

8. Security

We implement industry-standard security measures: HTTPS encryption in transit, encryption at rest through our infrastructure providers, row-level security policies in our database, access controls, optional two-factor authentication for your account, and one-way hashing of IP addresses in signature and view records. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Receive a copy of your data in a portable format
  • Object to or restrict certain processing

To exercise these rights, email us at support@proposem.com. These rights are available to both users and recipients. We will not discriminate against you for exercising them. If you are a recipient, note that deleting signature records attached to a contract you signed may require the agreement of the contractor who holds that contract.

10. Children

Proposem is a business tool and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

11. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes by email or by posting a notice in the app. Continued use of the service after changes constitutes acceptance.
